How to create a Quote

The purpose of this guide is to walk the reader through how to create a quote for the contractor module.

  1. How to create a Quote in a Job 
    1. To add a quote, you first need to access the job. To do this, go to ‘Jobs’ using the left-hand navigation panel.

    2. This will display an overview of all jobs, both new and old. Find the job you want to add a quote to and click either the job name or the magnifying glass icon.

    3. You will now see the job overview page. Scroll to the bottom of the centre section to find the Quotes box. Click the plus (+) symbol in the top-right corner of this box.

    4. An overlay will appear showing all available contractor companies. Here you can view the company name, the assigned staff member, and the status indicating whether the company’s documents are up to date. To select a company, click ‘Select’.

    5. A new page will appear. Starting from the top, the first field is ‘Value, ’the amount of the quote. This is the only mandatory field.

    6. Below that is ‘Expiry Date’ (optional), which indicates how long the quoted price is valid.

    7. Next is ‘Notes’, a free-text box for any additional details.

    8. Once you have entered the details, click ‘Submit’ to save the quote.

    9. After collecting quotes, you will see them listed in the Quotes section. Use the tick or cross icons to accept or reject quotes respectively.

    10. Clicking the magnifying glass icon will open the quote details page, where you can add further information such as documentation or notes. You can also accept or reject the quote in the information box at the bottom.

    11. When you approve a quote, a new calendar icon with a plus symbol will appear. Clicking this will create a new job event and automatically populate the company details for you.

  2. How to create a Quote outside of a Job
    1. To quickly create a quote from anywhere in the contractor module, click ‘Quotes’ on the left-hand navigation panel.

    2. This will display a list of all current and past quotes. To create a new quote, click the plus (+) symbol in the top-right corner of the results box.

    3. Select a job for the quote by clicking ‘Select’.

    4. Next, choose a company for the quote and click ‘Select’ again.
