Bulk Upload
This guide is to walk the reader through how to use the bulk upload tool.
- How to bulk Upload
- In this guide, we will demonstrate how to bulk upload using regular contractors. However, this process can be used across all record types. To begin, use the left-hand navigation panel and click ‘People’.

- Then click ‘Regular Contractors’.

- This will take you to a list of all your regular contractors. To perform a bulk upload, click the import symbol at the top right of the ‘Results’ box.

- An overlay will appear, allowing you to upload a file. If you do not have a file to upload, click the ‘Template’ button at the top. This will download a .csv file. Open this file to begin editing.

- In the spreadsheet, there will be several columns to fill in. Some columns are mandatory for the record to be successfully imported, but these may vary depending on the record type. Note: See Section 2 for details on these differences.

- Begin filling in the spreadsheet. For regular contractors, the only required columns are ‘Firstname’, ‘Surname’, and ‘Expiry’. All other columns are optional. When entering the expiry date, use the following format: DD/MM/YYYY.

- Once you have added the information, make sure to save the file.

- Return to the import tool.

- Upload the file by browsing for it through your files or drag and drop it into the upload area.

- A new overlay page will appear, showing how many records are pending import.

- Tick the acknowledgment box to confirm you are importing the data, then click Submit to proceed.

- You will see a progress bar at the top, indicating the status of your imports and any failures that may occur during the process.

- Once all records have been uploaded, click ‘Close’.

It’s worth noting that each Excel spreadsheet template used for importing data contains different record types, as each has its own set of mandatory fields.
The minimum fields required to bulk upload data are as follows:
- Staff: Firstname and Surname
- Students: Firstname and Surname
- Regular Contractors: Firstname, Surname, and Expiry
- Contractors: Firstname, Surname, and Companies (Note: Companies must be created beforehand)
- Companies: Name and Type (Note: You do not need to specify a company type, as it will default too ‘General’)
